The challenge

The Victorian horse racing industry is made up of 69 metropolitan and country tracks and five clubs, hosting over 500 race meetings a year. Every race is regulated by Victoriaā€™s state regulator Racing Victoria.

However, each club independently host race meetings, manage their own members and run independent marketing campaigns using siloed customer data sets.

Consequently, clubs would promote events and race meetings to owners and customers over the same period resulting in scheduling clashes.

Race meetingĀ overlapĀ leads toĀ three distinctĀ challengesĀ for clubs, namely:

  • Attendees areĀ splitĀ betweenĀ race meetingsĀ resulting inĀ lostĀ revenue.Ā 
  • WastedĀ media spendĀ due toĀ prospects receivingĀ marketing communications for multiple racing meetingsĀ scheduled onĀ the same weekend.Ā 
  • The best horses are splitĀ across race meetingsĀ resulting in lowerĀ quality horse talent.Ā 

The solution

Racing VictoriaĀ recognisedĀ thatĀ a lackĀ of visibilityĀ across race schedules and customer databases wasĀ aĀ significantĀ barrier to effective collaboration between clubs.Ā TheyĀ needed a way to unifyĀ theirĀ customer dataĀ and event scheduling without violatingĀ dataĀ privacy.Ā 

Racing Victoriaā€™s annual All-Star Mile, an interclub fan voted raceĀ meeting,Ā presented the perfectĀ opportunityĀ forĀ Racing Victoria to partner with CGI to develop aĀ multi-club database and live shared scheduling module.Ā

  • Shared customerĀ databaseĀ comprisingĀ ofĀ fiveĀ linked salesforce marketing cloud business unitsĀ , oneĀ for each club and regulator.Ā Ā 
  • Local and shared data extensions allowing for layered access to shared customer data sets for marketing campaignsĀ ā€“Ā information includesĀ name, email, postcode, and category (owner, trainer, member etc.).Ā
